(2) APPLICATION & ERASMUS+ FUNDING

2.1. Online Application


This application is submitted for Erasmus+ mobility support funding. The grant is paid in two instalments: 80% prior to the commencement of the mobility, subject to the completion of the procedures outlined below, and the remaining 20% upon completion of the mobility period (see corresponding sections of the website).

The National and Kapodistrian University of Athens (NKUA) is strictly not responsible for the purchase of travel tickets, accommodation bookings, or any other related logistical arrangements. For detailed information regarding the calculation of your funding, please refer to the relevant section of this website.

 

❯ Step 1: Online Application

Once you receive an official notification from the Department of European and International Relations of NKUA, you may proceed to submit your online application by following the link below:

During your online application submission, you must upload the following documents through the platform:

 

  • Copy of a valid passport
  • Mobility Agreement for Studies ([📥] Click here to download), signed by: The applicant, the home university’s Erasmus+ coordinator, and the academic coordinator of the host department at NKUA.

 

❯ Step 2: Send your financial and personal documents via email

In parallel with your online application, you must email the following documents to kattemp@uoa.gr

  1. (Only for those eligible) Top-up Grant Request for participants with fewer opportunities 

    If you are eligible for the fewer opportunities top-up funding, you must include this form in your email. 1. Verify Approval: Contact your Home University's Department of European and International Relations to verify whether a top-up grant for mobility has been approved by your National Agency. 2. Complete the Form: If approved and you meet the criteria, have your Home University review your supporting documents, and then complete and sign the first page of the Top-up Grant Request Form ([📥] click to download). Detailed eligibility terms and conditions are provided on the second page of the form.

  2. The Individual's Declaration of Personal Details document ([📥] click to download)
  3. Solemn Declaration stating that participant does not possess a Greek Tax Identification Number (AFM) ([📥] click to download
  4. Banking Details Form completed by the participant ([📥] click to dowload) - Please send this document back in word format
  5. A document issued by the participant's bank containing the details of the participant's bank account where the financial support is to be transferred, with a clarification that it will be used for the transfer of an international wire, including mandatorily: 

    ♦ bank account number,
    ♦ account holder name,
    ♦ bank name,
    ♦ address of the bank branch,
    ♦ Clearing/BIC/SWIFT number, and
    ♦ IBAN number

 

❯ Step 3: Receive your Official Letter of Acceptance

Upon the successful submission and verification of all the documents mentioned in the previous steps, you will officially receive your Letter of Acceptance

 

2.2. Additional Documentation


❯ Step 4: Submit your travel and insurance documents

At least 2 months before your scheduled mobility start date, you are required to submit your supplementary travel documents by sending an email to kattemp@uoa.gr with the following attachements:

  1. Flight ticket or e-ticket: Your official flight ticket or e-ticket
  2. Proof of payment: The invoice or official proof of payment for the travel ticket(s)
  3. Insurance contract: A copy of your insurance policy in English, explicitly covering the entire duration of your mobility period
  4. Visa copy (if required)

2.3. Grant agreement  


❯ Step 5: Sign and return your Erasmus+ Grant Agreement

Once the European and International Relations Department has received all required documents on time, participants will receive their Erasmus+ Grant Agreement by email, along with instructions for signing and sending it back.

❗ IMPORTANT: Participants must bring three original signed copies of the Grant Agreement and submit them to the academic coordinator who invited them to the National and Kapodistrian University of Athens.

ΑΤΤΕΝΤΙΟΝ: Leave the NKUA legal representative field blank. This is NOT signed by the host department; NKUA will handle the signature later.


❗ Important Notice: Financial Deadlines & Mobility Cancellation

Please be advised that the administration and disbursement of all Erasmus+ grants are managed by the Special Account for Research Funds (ELKE NKUA). ELKE operates under strict, non-negotiable financial processing schedules.

  • Cancellation: Failure to submit your pre-mobility documentation and Grant Agreement within the designated deadlines will result in the immediate and permanent cancellation of your mobility.
  • No Retroactive Funding: Your documentation must be fully approved and signed by ELKE prior to your departure. Grants cannot be approved retroactively, and any mobility undertaken without prior approval will not be funded.
