Erasmus+ Short/Blended Mobility programmes
The following information is addressed to students who are selected by their Universities to participate in short term physical mobility programmes with a compulsory part of virtual mobility, both organized and coordinated by Schools/Departments of the National and Kapodistrian University of Athens (NKUA).
The Short/Blended Erasmus physical mobility’s duration is between 5 and 30 days.
Nomination
Students from partner institutions wishing to participate in such programmes offered by the National and Kapodistrian University of Athens should contact the International Relations Office of their institution in order to be informed about the selection procedure.
After the selection, partner institutions send their nominations to the NKUA European and International Relations Department’s (erasmus[at]uoa[dot]gr) at least 2 MONTHS BEFORE the starting date of the physical mobility. Following that, selected students must read carefully all information posted on this website and submit all necessary documents on time.
Partner universities must send a nomination email to the European and International Relations Department (erasmus[at]uoa[dot]gr) with personal data of each student and the exact period of their participation in the physical part of the programme.
After that the students are notified about the application procedure.

After receiving the application form and the necessary documents, our Department will send to students an acceptance letter which they will need in order to apply for a visa.
Financial matters
Incoming students receive financial support from Erasmus+ EU funds from the National and Kapodistrian University of Athens. The financial support consists on an individual support for the mobility period and a grant to cover travel costs calculated according to the kilometric distance between the place of origin of incoming students and the place of the activity.

The funding corresponding to the range of distances in kilometers are as follows:

Students who participate in short Blended Programs (for 5-30 days) receive a fixed daily grant of 70 EURO for the first 14 days and 50 EURO for each day from 15th till 30th day. They also receive 2 more days’ grant for individual support for 2 travel days, one before and one after their study period.
Incoming students shall receive the first part of payment, representing 80% of the total financial support, after the signature of the Grant agreement. The Grant agreement has to be signed by students and then by the NKUA authorities before their mobility period.
As soon as the European and International Relations Department examines eligibility and each applicant’s total grant, students will receive by email:
- Their Erasmus+ Grant Agreement. They have to print 2 hardcopies and sign them all originally.
- The document “Individual’s declaration of personal details” of the /Financial and Administrative Support Unit of the Special account for research grants of NKUA. The document must be filled-in in English, must have the original signature of the participant and it has to be accompanied by a document issued by the participant’s bank stating the details of the bank account of the participant where the financial support should be transferred (bank account number, bank account holder, bank name, Address of the bank branch, Clearing/BIC/SWIFT number, IBAN number).
These signed documents must be sent back one month before the beginning of studies at NKUA, by express shipping/courier to the following address:

The European and International Relations Department sends the bank account details and the 2 copies of the Grant agreement to the Accounting department for the signature of the NKUA representative and the bank transfer.
The remaining 20% of the total financial support shall be paid after the end of their studies and the successful submission of the online EU survey (see below: “Going back Home”).
Health insurance
The participants need adequate insurance coverage. Insurance coverage shall include a mandatory private health insurance (a liability insurance and an accident insurance is optional. Liability and accident insurances cover damages caused by the participant or to the participant during their stay abroad).
A complementary private health insurance (optional) may be needed for some situations, for example in case of repatriation or special medical intervention. In addition to the above, insurance against loss or theft of documents, travel tickets and luggage is recommended (not mandatory).
A photocopy of the insurance contract covering basic and (optionally) emergency issues in Greece, issued (or translated) in English, must be sent to NKUA Erasmus office one month prior to the start of the mobility period.
Visa information
Incoming students from many non-EU countries need to apply for a visa prior to their arrival in Greece. It is advised to start the visa application process as soon as possible, since the procedures can require a considerable amount of time.

In order to apply for a visa, students should contact the nearest authorized Greek Consulate and receive information regarding the formal application procedure as well as all the necessary documents. One of them is the Acceptance letter issued by the European and International Relations Department of NKUA (see below, chapter Nomination). Learning Agreement
The purpose of the Learning Agreement is to provide a transparent and efficient preparation of the exchange to make sure the student receives recognition for the activities successfully completed abroad. The Learning Agreement informs the host university about the course students are planning to take and guarantee recognition of the course at the home university.
Students have to fill in the Short Blended programme activities they will attend at the National and Kapodistrian University of Athens (virtual and physical part). The Learning Agreement must be approved and signed by the responsible academics at home and host University (for NKUA the coordinator of the Short Blended programme signs the Learning Agreement).
Language requirements
The National and Kapodistrian University of Athens requires good knowledge -Level B2- of English language (or Greek, depending on the field of study) so that students are able to communicate and function within an academic context.
Necessary documents to be sent before arrival
Once students have received the acceptance letter and at least one month before the beginning of their studies, they must send to erasmus[at]uoa[dot]gr the following documents:
- The Learning agreement signed by the student, the home and the host University’s responsible academic
- copy of the health insurance contract covering at least health care insurance (mandatory) (in English)
- copy of visa (if needed)
- copy of the receipt of payment’s ticket or e-ticket payment with all ticket details
As soon as students arrive in Athens they have to send also their arrival boarding pass.
Going back home
After the Erasmus+ mobility period, and upon arrival to their country students need to take the following steps in order to complete the process of participation in the program:
- they must complete and submit the mandatory EU online survey they will receive from the European Commission via automatic email
- they must send to the European and International Relations Department erasmus[at]uoa[dot]gr :
- a copy of the receipt of the departure ticket or e-ticket payment with all ticket details and their departure boarding pass
- a copy of the Certificate of participation to the Erasmus+ Short Blended Mobility Program signed by the coordinator of the Programme
- a short report of activities during their Erasmus+ mobility period accompanied by a short photo gallery (optional).
The procedure of payment of the remaining 20% of the financial support will be completed after the successful submission of the MANDATORY online EU survey, the final estimation of the mobility period and the submission of all the above mentioned documents.
The financial support or part of it shall be recovered if incoming students do not carry out the mobility activity in compliance with the terms of the agreement they have signed. However, reimbursement shall not be requested when incoming students have been prevented from completing their mobility activities due to force majeure.
