LONG-TERM MOBILITY FOR STUDIES

This Erasmus+ program is designed for students selected by their Home Universities and the National and Kapodistrian University of Athens (NKUA) to participate in long-term study mobility at a department of NKUA.

Duration: Between 2 and 12 months (depending on the period agreed for each case; typically, it is one semester – details will be provided in the call from your Home Institution).

How to Participate:
To apply, you must first contact your university’s International Relations Office to learn about their selection process.

NOMINATION
Nominations are submitted by the International Relations Office (IRO) of the partner university according to the provided schedule, and no later than at least 2 months before the start of the mobility. Partner institutions will be informed about the nomination submission process via email.

LANGUAGE REQUIREMENTS
Students must demonstrate at least B2 level proficiency in Greek or English. Postgraduate participants must meet the language requirements of their specific program.

  • Many postgraduate courses are offered in English; some also in French, German, Spanish, or Italian.
  • For other departments, special arrangements are available for Erasmus+ students with English only (e.g. essay assignments in English using English bibliography)

APPLICATION

a) Online Application (2 months before mobility)

Applicants must submit the following documents via the Online Application Form:

Required Documents:

  • Letter of Acceptance by a NKUA school/department or a BIP academic coordinator
  • Valid passport copy
  • Learning Agreement (Click here to download), signed by the applicant, the home university’s Erasmus+ coordinator, and the academic coordinator at NKUA

Upon successful submission, you will receive your Acceptance Letter.

b) Additional Documentation (1 month before mobility)

At least 1 month before mobility, participants must also email:

  1. Flight ticket or e-ticket
  2. Ticket(s) Invoice/Proof of Payment
  3. Insurance Contract in English, that covers the entire period of mobility (👉 Info)
  4. Visa copy (if requires) – Click here for Insurance coverage and visa requirements details
  5. The Individual’s Declaration of Personal Details document (Click here to download)
  6. A document issued by the participant’s bank containing the details of the participant’s bank account where the Erasmus grant is to be transferred, with the clarification that it will be used for the transfer of an international wire, including mandatorily:
  • Bank account number,
  • Account holder name,
  • Bank name,
  • Address of the bank branch,
  • Clearing/BIC/SWIFT number, and
  • IBAN number

Please bear in mind that these procedures may take a considerable number of days and/or weeks, so it is recommended that you initiate preparing your documents as soon as possible.

c) Grant Agreement (at least 1 month before mobility)

Once the European and International Relations Department has received all required documents on time, participants will receive their Erasmus+ Grant Agreement by emailalong with instructions for signing and sending it back.

d) Check in at the European and International Relations Office (During the mobility)

During your activity period at the National and Kapodistrian University of Athens, and following prior arrangement, it is mandatory to check in at the Office of European and International Relations (30 Panepistimiou Street, 106 79, Athens) for the signing of the original documents.

FINANCIAL MATTERS

RETURNING HOME – FINAL STEPS
After the end of your Erasmus+ mobility, and within 6 weeks, you must issue and/or send the required documents by email to erasmus@uoa.gr.

1. Boarding Passes

  • Copies of your arrival and departure boarding passes.

2. Certificate of No Checked-out Books (CNCB)

  • You must obtain the CNCB from your Department’s Library, even if you have not borrowed any material.

Steps:

  1. Download the CNCB form here.
  2. Visit your Department Library (addresses available here) or send the CNCB form by email to the relevant Library address (emails available here).
  3. The signed CNCB must then be submitted to the Secretariat of your Host Department, together with your Transcript of Records.

Attention: Students who do not complete this process will not be able to obtain their signed Transcript of Records.

3. Transcript of Records – download it here

  • Within five weeks after the end of the examination period, you will receive the official Transcript of Records issued by your receiving Department/School.
  • Please fill in: your full name, the course titles, and course codes.
  • If you attended courses in different departments of NKUA, you must inform the Secretariat of your host department.
  • Send the completed Transcript to the Erasmus+ staff at the Secretariat of your host Department.

Special case – Modern Greek Language Course:

  • Students who attended this course must forward the Certificate they receive from the Modern Greek Language Centre (MGLC) to their Academic Coordinator so that the grade and ECTS can be included in the Transcript of Records.
  • Exception: Law School students – the MGLC will send the certificate directly to the Secretariat.

Important note: If you need the original document, you must provide the exact postal address for delivery.

4. Certificate of Attendance

  • Template is usually provided by your sending university, and it must be completed and signed by the NKUA to confirm the successful completion of your Erasmus+ studies. If you haven’t received a template from your Home institution, please let us know.
  • Send it by email to erasmus@uoa.gr, together with proof of your departure dates (e.g. boarding pass, train ticket).
  • Use the subject line: “Certificate of Attendance”.
  • Please note: Certificates of Attendance will be sent only after your departure from Greece.

5. Academic ID Card

  • Before leaving, return your Academic Identification Card to the Secretariat of your Department.

6. Final Version of the Learning Agreement

  • Submit the final, updated version of your Learning Agreement.

7. EU Participant Report

  • On the last day of your mobility, you will receive an automatic email from the European Commission with a link to complete your EU Participant Report.
  • After submission, download the PDF version of the report and send it to erasmus@uoa.gr, together with the documents listed above.

Important: Failure to submit the Online Participant Report may result in partial or full reimbursement of your Erasmus+ financial support.


Final Step: Payment of Remaining Grant

Once all required documents have been received and verified, the European and International Relations Department will proceed with the payment of the remaining 20% of your Erasmus+ financial support.
